NAGC Covid-19 Vaccination Verification Instructions

Registration for the 2022 NAGC Leadership and Advocacy Conference is now open!  We're excited to gather policy experts from across the field and provide a diverse, content rich program designed to strengthen your policy knowledge and advocacy skills. By attending the 2022 NAGC Leadership & Advocacy Conference, you will: 

  • Receive over 12 hours of professional development  
  • Learn about the latest policies impacting gifted and talented children and the educators who support them 
  • Receive expert, hands-on advocacy training 
  • Network with other advocates and affiliate leaders from across the country 
  • Work with experts to strengthen your state affiliate 
  • Meet with your members of Congress and advocate for the needs of your gifted and talented learners.   

As always, providing a safe and healthy environment for participants, presenters, and staff remains our top priority. With this in mind, all attendees, presenters, sponsors, staff, volunteers, and vendors attending The Leadership and Advocacy Conference at the Embassy Suites Hotel by Hilton, Alexandria, Va., March 13-15, 2022, must provide proof of vaccination to register for the in-person event. Additionally, face masks will be required at all times during the Conference, except when actively eating or drinking.

NAGC is using CrowdPass, a HIPAA-compliant service, to verify vaccinations. It should only take you a few minutes to complete this simple and secure registration and upload process. CrowdPass follows a thorough two-step verification process, and most verifications are completed within an hour or two, but please be patient if you do not receive your confirmation until the next day. CrowdPass will accept vaccination statuses approved by the World Health Organization (WHO) and the Centers for Disease Control (CDC). As part of the approval process, you must also read and accept both the NAGC Attendee Liability Waiver and Assumption of Risk form and the CrowdPass waiver. 

CrowdPass Instructions: 

You will need your vaccination card on hand (or a copy/photo of it saved on your computer or mobile device) so you can reference the information on it, to take or upload a picture. Accepted file formats for your upload are .png, .jpg, .jpeg, or .pdf.

  1. To begin, click on the NAGC Vaccination Verification Form or scan the QR code below to log into CrowdPass with your Google or Facebook credentials, or you can create an account with your email address. (You may receive an email asking you to confirm your email address.) Click confirm to proceed with the verification process.

  2. Provide some brief contact information using your name exactly as it appears on your vaccination card, agree to the NAGC Attendee Liability Waiver and Assumption of Risk form and the CrowdPass waiver, then answer yes to the question “Are you fully vaccinated?”
     
  3. Fill in the information from your vaccination card, indicating which vaccine you received and when you received each dose. (If you received your vaccination outside of the United States, select Other. CrowdPass will verify international vaccine cards, but it may take up to 12 hours to receive your email with a verification code. Non-standard U.S. vaccination cards may also take additional time to be approved.)
     
  4. Take or upload a photo of your vaccination card and click Submit.
     
  5. You will receive a confirmation email from CrowdPass that contains your vaccination verification code. Your vaccination verification code is unique to you and may not be shared or reused. Be patient if you do not receive your confirmation until the next day. Most people receive their confirmation email within a couple hours; however, it may take up to 12 hours during busy times. Be sure to check your junk or spam folder if you do not receive this message. Another letter will be sent to you confirming your Advocacy Conference registration. 

Exceptions

Exceptions will be made on a case-by-case basis only for those who cannot receive the vaccine due to a medical condition. If you have a medical condition that prohibits you from receiving a vaccine, you must provide a letter from your physician on letterhead. Details of your medical condition are not required. If you are requesting a medical waiver, please send an email with your supporting information to nagc@nagc.org with the subject “Medical Waiver,” along with your first and last name. Other than providing your supporting medical waiver letter, please do not send any documentation directly to NAGC.

In addition to the letter, you will also be required to provide proof that you received a negative COVID-19 test result within 72 hours of your arrival. You must upload your test result to CrowdPass. 

Note: If you have uploaded your vaccination card and would like to check your approval status, or if you lost your confirmation email, you can log back in through the link above using the same email. If you have been approved, you can click the green approval icon to view your verification number. 

Technical Assistance

Please view CrowdPass’s FAQs, email support@crowdpass.co, or contact CrowdPass support if 1) you experience any technical issues with the verification process; 2) if it has been more than 12 hours since you uploaded your vaccination information but have not received a confirmation and verification code; or 3) you have an unusual situation (such as a non-standard vaccination card) and need assistance.

Reminder: You will not be allowed to attend the Leadership and Advocacy Conference without uploading your proof of vaccination in the CrowdPass system. NO EXCEPTIONS.
